14.5. Preparing E-resource Records for Upload Using MarcEdit

Open MarcEdit

Optional Merge .mrc files into one file for loading (untested by BAM, you can also download numerous deliveries as a single file from Overdrive)

 

Choose MARC Tools to convert the .mrc files to .mrk files.

Select the .mrc file on disc, navigate to the same folder to choose where the .mrk is saved.

Next, back at the main screen, choose MarcEditor. Open the .mrk file you just made.

Navigate to Tools > Edit Field Data

 

Ensure Form Fixed Field is Populated

Check to make sure the fixed field for "Form" is filled in. Use Edit Subfield Data to do this. Form appears in the 008 in position 23.  This value should be "o" for 'online' for electronic resource records. https://www.oclc.org/bibformats/en/fixedfield/form.html

 

 

Next you want to remove the 856 fields which include extraneous links to content that is not the actual electronic resource, such as Excerpt, Image, and Thumbnail, etc. Go to Tools>Add/Delete Field (F7) to identify 856 fields with $3 that uses terms such as Excerpt, Image, Thumbnail, Table of Contents and delete those 856 fields.

 

 

 

Next you will need to add subfields to the remaining 856 tags for $9 and may want to add a $x.  Go to Tools>Edit Subfield Data (F9). Below are specific tags and values that are used for an Overdrive consortium's e-resources: einc. You may add different information in the $x for your resources, such as RBDigital or other eresource vendors.

 

 

Note: Use your library system's name short code as your "Replace with:" value for $9. You should also check the 'Add subfield if not present' box under Search Options.

 

 

 

 

Once all this is done, you'll need to convert these .mrk files back to a .mrc file using the MarcMaker. 

 

Once you've done this, you can upload these edited .mrc files to the catalog following the instructions on the Uploading Electronic Resources in Evergreen page.
