8.2. Transferring Holdings to New Records

Last Updated 12/23/2025

Moving Holdings onto a Different Bibliographic Record

On This Page

Item catalogers can move items to different records by marking the destination record, then transferring the item to the marked record.

In cases where an item has been attached to the wrong biblioraphic record, such as a large print item attached to a regular print record, you can move the incorrect item to the correct record through a transfer.

To Move Holdings

  1. Navigate to the bib record that you're moving the materials to.
  2. From the Mark For menu, choose Holding Transfer.
"Holding Transfer" is the fourth option in the "Mark For" dropdown list.
  3. Once you've done so, you can go back to the Mark For drop down menu and see the TCN of the record marked as the destination.
The TCN appears in parentheses to the right of "Holding Transfer."
  4. Navigate to the bib record of the material you're transferring. Click into the Holdings View tab.
  5. Select the row with the Call Number record of the material you're transferring and check the checkbox of the Call Number row (not the row where the barcode is)
The checkbox is to the left of the call number.
  6. From the Actions menu, choose "Transfer Holdings to Marked Destination"
"Transfer Holdings to Marked Destination" is the first option under "Transfer" in the dropdown list.
