In Evergreen 3.11, some permission restrictions weren't properly limiting item edits to Item Catalogers like they should have been. We've had a few tickets where we've had to refer staff to taking the Item Cataloger assessment to continue being able to perform tasks they'd grown accustomed to being able to do. We've also had to add some permissions for the Acquisitions module.
Issue: From the Clone Report, Edit Report, or View Report interface, if you click the browser's "Back" button to go back to the Reports folder, then highlight a report and open the Actions menu again, the only options listed will be Clone Report, Output List, and View Report. To get Delete Selected, Edit Report, and Move Select back, you have to refresh the folder in some capacity (go out and back in, refresh the page, etc.).
Workaround: Use the Legacy reporter. You can access the Legacy reporter using the link below:
https://(your library).nccardinal.org/eg/staff/reporter/full
You can replace (your library) name in the beginning of the URL.
Issue: If you make a change in the fixed fields or the LDR field in the Enhanced MARC Editor, the counter next to the Undo button will increase. However, when you click the Undo button, it will not actually undo the change/s you made, but the counter will still go down with each click. Both the Undo and Redo buttons work when you make a change to any of the numbered fields in the record (including any changes you make in the =008 field itself).
Issue: The "Audience" search field in the OPAC and staff catalog is pulling everything from position 22 in the =008 fields of the MARC records. This is resulting in a large number of erroneous audience filters.
Issue: In the new version of the Enhanced MARC Editor in 3.13.3, right clicking in the fixed field "Ills" brings up both your standard Windows right click menu with "Cut, Copy, Paste, etc." and a menu for terms to enter into the field. However, you cannot actually select any of the terms. If you click on one, the menu disappears, but nothing is entered into the fixed field. You see this same behavior with the "Cont" fixed field. The other fixed fields all appear to work as intended.
Issue: If you use the keyboard shortcut (Ctrl+D) to add a new subfield in the Enhanced MARC Editor, it actually adds two new blank subfields instead of only one.
Issue: In the Enhanced MARC Editor, if you use the keyboard shortcut to add a new field, two duplicate 999 fields are added instead of just one. This appears to be mainly an issue with the keyboard shortcut, because if you click the + button instead, it adds only a single 999 field.
Issue: This only seems to happen sporadically, but in the Enhanced MARC Editor if you attempt to change the "ELvl" fixed field, the changes may not save for you.
Issue: In the patron search interface, if you begin typing a patron's name before the page fully loads (specifically, before the "Mailing:Street 1", "Created On", "Home Library", etc., columns appear beneath the search fields), the search will automatically perform after only typing 1-3 letters.
Workaround: If you wait until after the page has completely finished loading before beginning your search, then a search will not be performed until you manually click the Search button after typing in the patron's information.
Issue: The Pickup Library field in the Holds Pull List page currently defaults to blank. For some libraries, this does not appear to be an issue, as the holds list will still populate regardless. For other libraries, however, the holds list will not populate.
Workaround: Select CARDINAL from the Pickup Library dropdown list in order for the holds list to populate.
Issue: In the staff catalog, Library Groups and Shelving Location Groups are listed as a separate search field from Search in Library, but in the OPAC, they are listed in the Library search field. This is a wishlist request to either have these search fields separated in the OPAC, as well, or to otherwise be given the option to choose whether to separate them out or to keep them together in both the staff catalog and the OPAC.
Issue: In the staff catalog, if you select a shelving location group and choose a specific library in the Search in Library field, you will receive records in the results with no items belonging to that library attached.
To test this:
1) Create a shelving location group for a specific library (e.g. Carteret)
2) In the staff catalog, select the shelving location group
3) Select Carteret in the Search in Library field
4) Perform search
5) Results will include records with 0 items owned by Carteret (note that this is referring to physical materials, not electronic resource records)
This does not appear to happen in the OPAC. You only receive results with records that have the library's items attached.
Issue: A Hold Position of "1" displays for the Queue Position found in the Open Holds Request section of the patron account. A hold position different from"1" displays when viewing the Queue Position found in the View Holds section of the Bibliographic Record.
Issue: Transit Source and Transit Destination in the patron holds interface only display the library ID rather than the library name or shortname. Additionally, the circulating and owning libraries are not listed as options for columns.
Issue: Users adding funds to direct charges in Invoices can only select funds for the branch of their workstation. Patch is being tested.
Issue: when Branch name or Shelving Location name are very long, shelving location shows up blank in purchase orders.
Workaround: check the worksheet to make sure a shelving location is actually attached to the copies in your line item. If the shelving location shows up in the worksheet, it will attach as expected to the catalog record.
Issue: If you use the Clear Form button in the new Angular Z39.50 interface, not only the search form is cleared, but also the Services and Credentials. However, it leaves all of the Search Query fields intact. If you navigate away from the Z39.50 interface and return to it, and all of the previously selected Services and Credentials are checked again, and the Search Query fields are still present as before. If you perform a search after clicking Clear Form, but before navigating away from Z39.50 (so when the Services and Credentials have been unchecked), the search will go through as normal, like you still have those same Services and Credentials selected.
Issue: Now when you download a CSV file of a list from your account in the OPAC, it will include the subfields $n and $p from the =245 field.
Issue: A patch has been rolled out to Production that resolves this issue. You may need to clear your cache first, but now the option to Cancel Holds from the Hold Shelf should no longer be grayed out in the Actions menu.
Issue: Funds must be included for Direct Charges on invoices. This primarily impacts shipping. There is a new option for "Non-prorated Shipping" available. Please use that charge type and apply a fund. If a fund can't be added, submit a ticket and we will a create a fund for this purpose.
Issue: A patch has been rolled out to Production that resolves this issue. Now when you enter a date into the Date1 and Date2 fields in the Enhanced MARC Editor, extra spaces are no longer added with each digit.
Issue: In the Holdings view tab, by default the cells are showing up with word wrap turned off. There is a drop down arrow next to the action menu to the top right of the grid. The mouseover text goes from "Allow cell contents to wrap" to "Truncate cell contents to one line" That however is not what it actually does. The only difference is that it adds grid lines but the cells do not truncate to one line. This means that if your window is compact, table cells may be one character per line.
Workaround: Set column widths in grid editor.
Issue: Bad joins in reports. We were seeing issues where data sources would be incorrectly selected, disconnecting the data source from its core source. This was evident from broken paths appearing in the field. This error stemmed from an underlying problem with the data structure, called Tree, that represented the way tables in the database are connected. Data sources in the Tree, called Nodes, became unaware of their position in the Tree due to a fault in how they were added. This affected other pages that used that same Tree data structure such as the permission group page and org unit page. We applied a patch that fixed the structure of the tree, allowing data sources to be connected once again. Next, we found an issue wherein fields with labels were using that label to access the database rather than the actual name as it appears in the schema. We've applied a patch to address that issue as well. Then, we found a new issue wherein tables connected virtually ie. not actually linked in the database but rather linked logically, are no longer available to the reporter.
Workaround: Use the Legacy reporter. You can access the Legacy reporter using the link below:
https://(your library).nccardinal.org/eg/staff/reporter/full
You can replace (your library) name in the beginning of the URL.
November 1 - 3, 2024
Current Version: 3.11.1
Target Version: 3.13.5
During the weekend of November 1st - 3rd, NC Cardinal will be having our annual Evergreen software upgrade. The process will begin the night of November 1st and proceed through Sunday, November 3rd. During this time, our Evergreen catalog will be completely offline.
During this process, any libraries that are open will need to use the Offline mode. Detailed instructions, including a video on Offline Mode can be found in our Knowledge Books.
During the upgrade weekend, users will still be able to authenticate to electronic resources because we'll be pointing our SIP authentication server at a backup copy of our database, but since our real database will be down, this means self check out machines should not be used this weekend.
We will be upgrading from Evergreen version 3.11.1 to version 3.13.5. The full list of changes can be found in the release notes below.
Evergreen Version 3.12 Release Notes
Evergreen Version 3.13 Release Notes
November 11 - 12, 2023
Current Version: 3.9.1
Target Version: 3.11.1
This fall, during the weekend of November 11th - 12th, we are planning our annual upgrade to our Evergreen software. The process will begin the night of November 10th and proceed through the following Sunday, November 12th. During this time, Evergreen will be offline, and any libraries that are open will need to use the Offline mode. Detailed instructions, including a video on Offline Mode can be found in our Knowledge Books.
We will be upgrading from Evergreen version 3.9.1 to version 3.11.1. The full list of changes can be found in the release notes below.
Evergreen 3.10.3 Release Notes
Evergreen 3.11.1 Release Notes
Below you will find a list and summary of some of the features included in the upgrade that we believe may be of particular interest to NC Cardinal libraries.
During a merge of bibliographic records notes will now merge and a notation on each added that they were originally from another record. A note is also added that the merge was performed.
Override All Option when Placing Multiple Staff Holds
When placing multiple holds in the Angular Staff Catalog, staff users with permission to override the failed holds will see an Override All button which will perform all overrides at once. Overriding each failed hold individually remains an option.
The dialog to confirm canceling a hold in the staff interface now lists only hold cancel reasons that can be manually applied, excluding the ones that can only be automatically applied.
In addition, two more hold cancel reasons are added:
Patron via email
Patron via SMS
New Permission for Viewing Holds Pull List
Access to the holds pull list is now restricted to users with the VIEW_HOLD_PULL_LIST permission. By default, this new permission is granted to all users with the VIEW_HOLDS permission.
Adds a Staff View tab to the record details page in the staff catalog. In addition to showing various fields from the bib record, it also shows a count of hold requests and a breakdown of available items versus total items, and it shows a breakdown of similar records by formats and language editions, based on the associated metarecord.
Further Angularization of Acquisitions Interfaces
The following acquisitions interfaces were rewritten in Angular:
Purchase Orders and Selection Lists
Line Item management, including
Receiving and claiming
Creation of lineitem items singly and in batch
Load MARC Order Records
Improvements over the previous interfaces include:
The line item table can now be sorted and filtered
New settings to control the owning library that is applied to auto-created lineitem items.
Support for Advanced Shipment Notices in Acquisitions
This version of Evergreen supports DESADV EDI messages. These messages are created by vendors when they pack and ship items, and contain:
A list of dispatched POs, lineitems, and the number of items per lineitem.
A package-level barcode (e.g. https://en.wikipedia.org/wiki/Serial_shipping_container_code) that represents the package as a whole.
Staff can scan that package-level barcode to retrieve information on every item in the package, including an option to auto-receive every item in the box.
New Column in General Acquisitions Search
The general acquisitions search grid now has a column for purchase order ID.
New Permission for Fund Rollovers
A new permission, ADMIN_FUND_ROLLOVER
, is added to control access to the fund rollover function. This allows having some users be able to manage funds without being able to invoke the rollover action, as rollovers can be hard to undo.
During the upgrade, any permission group with the ADMIN_FUND
permission will get the new ADMIN_FUND_ROLLOVER
permission to avoid surprises. Consequently, an Evergreen administrator who wishes to lock down access to the feature should follow up by removing the new permission where necessary.
In new databases, ADMIN_FUND_ROLLOVER
is granted only to the stock Acquisitions Administrators permission group.
Inactive Funds Can No Longer Make Allocations or Transfers
In the Funds Administration page, if a fund is not marked as active, the "Create allocation" and "Transfer money" options will no longer be available.
In the occasional cases where these operations are necessary, you can edit the fund to mark it active, perform your financial operations, then mark it inactive again.
The default schema has added an audit table for the acq.lineitem_detail
table. The audit table is NOT created during database upgrade. If you wish to add the audit table to your Evergreen installation, you can run the following SQL in your database:
November 11 - 13, 2022
Current Version: 3.7.2
Target Version: 3.9.1
This fall, during the weekend of November 11 - 13, we’re planning our annual upgrade to our Evergreen software. The process will start the night of Nov. 10th and proceed Friday through Sunday. During this time, Evergreen will be offline, and any libraries that are open will need to use the Offline mode. Detailed instructions, including a video on Offline Mode can be found in our Knowledge Books.
We’ll be upgrading from Evergreen version 3.7.2 to version 3.9.1. The full list of changes can be found in the release notes below.
Release Notes for Evergreen 3.8
Release Notes for Evergreen 3.9
Presentation from the Evergreen Conference about changes coming in versions 3.8 and 3.9.
The 3.9 upgrade includes a new reporting system focused on ease of use. The original reporting interface will still be available for customizing highly complex report templates, but the new Simple Reports Interface will guide users through a streamlined reports creation wizard. This interface includes a shortened list of the reports most used by frontline staff.
Circulation - reports focusing on library circulation
Collections - reports focusing on library collections
Weeding - reports for weeding and collection maintenance which include fields related to circulation, collection, and inventory
Patrons - reports focusing on library patrons
Billings and Payments Transaction Summary - reports focusing on monetary transactions
Staff users with cataloging permissions will be able to upload a cover image directly within a specific bibliographic record. Uploaded images will override images sourced from Open Library.
System Admins have a new permission added to their profiles, allowing them to customize the staff portal page (commonly referred to as the Splash Page). Different portal pages may be configured for each library. Staff logging in with a workstation for a specific system or branch will see the splash page that has been customized for that org unit.
This upgrade allows administrative users to create alternate templates for Action Triggers that will generate locale specific notices for Action Triggers. This option allows you to create notices in different languages. The template, message and message title can all be localized.
Patrons may set their own locale in the My Account interface off the OPAC by going to Preferences → Personal Information and setting the Preferred Language field.
November 13 & 14, 2021
Current Version: 3.5.4
Target Version: 3.7.1
This fall, we’re planning our annual upgrade to our Evergreen software. The upgrade will happen during the weekend of November 13 & 14. During this time, Evergreen will be offline, and any libraries that are open will need to use the Offline mode. Detailed instructions, including a video on Offline Mode, can be found in our Knowledge Books. We’ll be upgrading from Evergreen version 3.5.4 to version 3.7.1. The full list of changes can be found in the release notes for 3.6 and 3.7.

Summary of Changes of Interest
We’ve gone through and summarized a few of the features included in the upgrade that we think may be of interest to NC Cardinal libraries.
This upgrade will roll out updates to the staff search interface (what has been known up til version 3.6 as the Experimental Staff Search). This update is part of the larger effort to improve the look and feel of the staff experience by rewriting the pages in a code language called Angular.
It is possible to access the current staff catalog in Next by going to the Cataloging drop down menu and choosing Search the Catalog (Traditional).
The Curbside Pickup feature in Evergreen provides an interface to help facilitate contact-free pickup of library materials. It provides a dedicated interface in the staff client for library staff to track and manage curbside pickup appointments and materials through the various stages of the process. Staff can also schedule pickup appointments on behalf of patrons. This feature also allows patrons to schedule their own curbside pickup appointments in their OPAC account, as well as inform the library when they have arrived and are waiting for their materials.
This upgrade will include improvements to the look and feel of the public OPAC, as well as the functionality of Evergreen on mobile devices. NC Cardinal had been unsure of when this work was to be accomplished, so Llewellyn had built much of this functionality beforehand, which we’ve been rolling out to member libraries as a part of our OPAC Redesign project.
Ability to Test Notification Method
Patrons and staff may request a test notification for a patron’s default email address or SMS number via the Patron Registration interface in the staff client or the OPAC preferences interface. The OPAC_LOGIN permissions are required to request a notification. When a notification is sent, it will be sent to either the user’s default email or default SMS number, depending on what was requested.
A new interface under Local Administration has been added called Hopeless Holds. Using a new Hopeless Date field on hold requests, this interface gives staff a way to resolve issues with hold requests that may have become unfulfillable or "hopeless".
Enhanced Public Catalog Printing and Email
Evergreen now provides additional functionality for printing and emailing bibliographic record and holdings information from the catalog, including from an individual record or from a list or basket.
This version of Evergreen includes an optional course materials module. Like course reserves modules in other library software, this module makes reserves collections more discoverable and easier to manage. The module also provides similar functionality for library electronic resources and open educational resources, whether they have been cataloged or not.
Item Status Allows Pasting a List of Barcodes in csv Format
Staff catalog now has the ability to add all search results (up to 1,000 titles) to the basket
Block Login of Expired Staff Accounts
Allow Circulation Renewal for Expired Patrons
The "Allow renewal request if renewal recipient privileges have expired" organizational unit setting can be set to true to permit expired patrons to renew circulations. Allowing renewals for expired patrons reduces the number of auto-renewal failures and assumes that a patron with items out eligible for renewals has not been expired for very long and that such patrons are likely to renew their privileges in a timely manner.

More Staff Interfaces Updated to Angular Functionality
These releases include more of the staff interfaces being moved to the more modern functionality of the Angular interface.
The experimental Angular staff catalog has been promoted to operate as the default catalog in the browser staff client. It will be used for all catalog entry points, except for the menu entries for the traditional catalog and any links within the traditional catalog.
Often, when we mention a bug, we suggest that you Add Heat to that bug. The Evergreen community has a sort of voting system to indicate when a Bug or wishlist item impacts a lot of people.
Evergreen bugs are tracked in Launchpad
https://bugs.launchpad.net/evergreen
To Add Heat, or create a bug, you have to create a free account on LaunchPad. To do so, navigate to the link above and choose Log in / Register up in the top right.
From here it will take you to a form to create a Ubuntu One account.
Once you've created an account, you'll be able to go to a bug or wishlist item and add a comment at the bottom of the page, or add heat by clicking on the link at the top that says "Does this bug affect you?":
This will pop up a link that says "Yes, it affects me"
Once you've done so, you'll see this at the top if you return to the bug:
Click on the Report a bug in the top right of any page
